What File Format Should Your Resume Be? PDF vs. Word for ATS
"Should I send a PDF or a Word doc?" comes up in every resume thread. The honest answer: both work in modern systems — as long as the text is selectable. Here's how to choose.
The short answer
- Text-based PDF — the safest default. It preserves your layout everywhere and parses well in almost all modern ATS platforms.
- .docx (Word) — also reliable, and occasionally required by older systems or recruiters who want to edit/annotate.
- Follow the posting. If it asks for a specific format, send that.
The mistake that breaks both
The format matters far less than whether the file contains real, selectable text:
- A scanned PDF or one exported as an image from a design tool has no text layer — the ATS sees a picture and extracts nothing.
- Test it: open your PDF and try to select and copy a sentence. If you can't, neither can the ATS. Re-export as a text-based file.
When to prefer each
Choose PDF when:
- You want your formatting to look identical for the human reader.
- The application accepts PDF (most do).
Choose .docx when:
- The posting or recruiter specifically requests Word.
- You're working with a recruiter/agency who will tweak it.
- You suspect a very old ATS (rare, but .docx is the most universally parseable).
What never to send
.pages,.odt, or other niche formats.- Image files (
.jpg,.png) of a resume. - A Google Docs share link instead of a file.
- A design-tool export that flattens text to graphics.
Format is necessary, not sufficient
Even a perfectly formatted file won't help if the layout is wrong (columns, text boxes) or the content lacks the right keywords. Pair the right file type with a clean, parseable layout — that combination is the foundation of an ATS-optimized resume.
