ATS Resume Format - What Actually Works

Formatting is where good candidates quietly lose. A strong career history won't help if the ATS scrambles it on the way in. Here are the formatting rules that actually matter.

File format

Best: a text-based PDF or a .docx. Both parse reliably in modern systems.
Avoid: scanned PDFs, images, .pages, or design-tool exports that flatten text into graphics. If your text isn't selectable, an ATS can't read it.
When a posting specifies a format, follow it.

Layout

Single column. Two- and three-column layouts frequently parse out of order, mixing your job titles and dates.
No text boxes or sidebars for important content — many parsers skip them.
Don't put key info in the header or footer. Put your name, phone, and email in the body.

Headings

Use conventional, boring section names. Parsers look for them:

Use Experience / Work Experience, Education, Skills, Certifications.
Avoid clever labels ("My Journey", "Toolbox") — they can be missed entirely.

Fonts and styling

Standard fonts (Arial, Calibri, Georgia, Helvetica). 10–12pt body.
Skip graphics, logos, icons, photos, and rating bars ("4/5 stars" in Python) — these don't parse and convey nothing searchable. (More on this in graphics and logos.)
Use real bullet characters, not images.

Dates and structure

Consistent date format (e.g., Jan 2023 – Present).
Reverse-chronological order is the safest and most expected.
Spell out and abbreviate key terms once: "Search Engine Optimization (SEO)".

A quick pre-send test

Save your resume, then copy-paste the whole thing into a plain text editor. If the result is readable and in the right order, an ATS can probably parse it. If it's jumbled, fix the layout. (More ways to check: is my resume ATS-compatible?)
